Every status, and what it means

Documentation

An inspection carries three independent statuses, and a job can hold any combination of them. Visits and agreements have their own, which is why this page is a table rather than a flow chart.

Appointment

Is it on the calendar, and did it happen.

Value Means Moved by
requested Created, not yet settled. Both doors start here — a client booking and a job you create yourself Creating it
scheduled On the calendar You
confirmed Confirmed with the client You
completed The visit happened You, or completing it from the inspection
cancelled Called off Cancelling, which can carry a fee

Nothing here gates a report. A report can be written and published against a job that was never moved past requested.

Report

How far the write-up has got.

Value Means Moved by
in_progress Being written Creating it
submitted Finished, not released Submitting
published Released, and a version snapshot written Publishing — needs the publish permission and a clean readiness check

Payment

How much of the money arrived.

Value Means Moved by
unpaid Nothing received Default
partial Some received — a deposit, usually A deposit at booking, or a part payment
paid Settled Payment through the site, or marking the invoice paid yourself

This one can gate. Where an inspection requires payment, the report is held until this reaches paid.

Visits

A job can contain several visits, each with its own lifecycle. A visit finishing is not the job finishing.

Value Means
scheduled Booked
completed Attended
results_received Lab or third-party results are back
cancelled Called off

Agreements

An agreement envelope and each of its signers carry the same set of values, read at two levels.

Value On the envelope On a signer
pending Not sent yet Not sent yet
sent Out Sent to that person
viewed Opened by someone Opened by that person
signed Complete, per its policy That person signed
declined Refused That person refused
expired Timed out That person's link timed out

The envelope's status is a reduction of its signers', and the rule is the completion policy: all signers, or any one. That is why an envelope can sit at sent while one signer already shows signed — and it is the usual explanation for "I signed but it still says outstanding".

This one can gate, where the inspection requires an agreement.

Report links

Not a status on the job, but the one people mean when they say "the client cannot open it". It is per person, on the inspection's People card.

Value Means
not_sent They have never been given a link
active A link is live, with an expiry
expired It timed out — sending again issues a new one
revoked Access was withdrawn deliberately

Which statuses actually gate something

Only two, and only when the inspection is set to require them:

  • Agreement — signed, where required.
  • Payment — paid, where required.

Everything else is a record of where the job stands, not a lock. An owner or manager can unlock a single inspection when a gate no longer serves anybody.
